IT Liaisons meeting notes
Nov. 1, 2005
9-10am
SEL 390

  1. Linking Treo phones with Corporate time calendars – Matt

At the end of the meeting Matt will take anyone who is interested in learning about how to link Treo phones to Oracle to another SEL room for a demo. CSS will repeat this workshop at a future date for anyone who can’t attend today.

  2. Public PCs -- Matt

CSS has a new image for public PCs that are not labs.

Lab PCs are those in Main 220, EHS 230, SEL 1st Floor. Historically these PCs have been behind a firewall that requires authentication, that is still true. CSS is changing to Deep Freeze software to help with reimaging these PCs. CSS will put this new image on BUS public PCs and wait a few days to confirm it works before moving ahead with other locations.

The image includes 50 concurrent licenses for MS Office and Adobe which will be shared across all locations. CSS will ask locations to keep track of how many users say they can’t open the application and CSS will track usage on backend. Then we will know whether 50 concurrent licenses is enough or if we need more. Next lab location will be EHS. The MS Office package includes. Excel, WORD, PowerPoint, Access, Publisher.

  3. OSU wireless --Matt

Have changed all locations except VET. On OSUL home page look at the “News” item on wireless access, which includes a list of libraries and link to the OIT wireless site where users request for a wireless account and get instructions to configure their laptop. Once you set-up the new wireless access on your laptop it is saved for subsequent uses. Pat Visel suggested a flyer announcing the new wireless be distributed for users who have questions when staff are not available. Matt agreed to prepare something.

BPL will be next location. Not certain yet if the wireless installed at Ackerman will be the new OSU wireless. Hope it will be available in both the Ackerman 1st floor public areas and hope to have it in the staff areas as well, including 2nd floor offices.

  4. IT phone tree -- Penny

Penny reviewed the changes we’ve made to the IT phone tree. Will add Bill Studer to the Main 2nd Fl section. Will ask Lisa Iacobellis to post on the Staff Web page. Will send Liaisons an announcement when this is done.

Tony Maniaci said he though we’d decided to discontinue use of the phone tree and would reply on messages posted to 8-4310. Penny reported that Sally Rogers suggested getting a dedicated phone line for IT to use exclusively for posting IT messages. The phone would probably be located in the CSS area; they would not answer it when it rings but let all calls go to the message. Penny will ask Sally about this when they meet next week.

Mike Derr invesitaged using an RSS feed from the CSS System Status Web page. A crawler can appear on any Library Web page we wish.

  5. Code blue messages -- Penny

Reviewed changes made to the document. Will ask Nancy and Sally if there is any reason not to post this document on the Staff Web page. Will notify Liaisons when a decision has been made.

  6. IT Liaisons 2006 meetings -- Penny

We will meet monthly in 2006: 1st Tuesday, 9-10am in SEL 390. Penny will reserve the room and send Liaisons a list of meeting dates.

  7. GoogleScholar -- Penny

Penny demoed GoogleScholar and how to a user can set-up the GoogleScholar preferences so the user is offered the OLinks link to full text available to OSU users via OhioLINK and OSU Libraries. The GoogleScholar FAQ is on the “Find Articles and more” portion of the OSUL homepage.

  8. New copiers/printers – Matt and Tony

All multi-function copiers have been installed but not are networked yet so you can’t send a public PC print jobs to the multi-function device. Once the new copies are networked locations can decide if they want to keep the PC printers or send public PC print jobs to the multi-function device. Can set-up as each location prefers.

Tony: ordering paper supplies is working OK. New multi-functions seem to jam frequently. Sometimes you can’t find a jam, but opening the trays seems to reset the machine. Printers (not copiers) have a different problem, we have notices that when tray 1 is empty the devices don’t seem to default to tray 2. Matt will follow up.

Working with BuckID about no value cards since we no longer have coin-operated machines. The user no longer pay $1 extra for a card purchased from a vending machine. Waiting for new signs for the vending machines. Working with BuckID to have the $.50 fee charged when money is added via the BuckID web site to be discontinued.

Akua announced that a multi-function copier will be installed on Main 2nd Floor.

Tony reminded locations to check the copier drawer to be sure it’s set to 8 1/5 X 11 size paper.

  9. Novell account form – Scott

Recently Mike Derr changed for the form for requesting new Novell accounts. A department menu has been added. Will add 9th Floor for the Bookstacks Office. Does selecting the location automatically give that person access to that department’s shared group space? Scott: NO, but he handles behind the scenes, assigning the person the same shared group spaces that other staff in that location have. The person completing the form should be sure to list any shared group spaces a person whould have that are in addition to what other staff in that department have.

  10. Requesting Service form – Scott

Will ask Mike to add the location menu to this form too. Penny asked that an entry for HEA, LAW, Regionals be added as Nancy and Penny encourage these locations to report online catalog, database, e-journal and off-campus access problems via this form. Or add NA to the list instead of listing HEA, LAW and Regionals.

  11. Web calendar – Todd Wulfhorst (OIT)

Todd announced that Library personnel can access their corporate calendar at http://webcal.osu.edu. The site has full functionality and can be accessed from on- or off-campus.

Next meeting Dec 6, 9-10am in SEL 390.
